Who we are

FieldBase is operated by Chang Hyun Kwon, a sole proprietor (“we”, “us”). By using the site or the service you agree to these terms. If you use FieldBase for an organization, you agree on its behalf and confirm you’re allowed to.

What FieldBase is

FieldBase is a web application for keeping records of donors, pledges and gifts, converting gifts between currencies, and producing year-end giving statements. It is a record-keeping tool: FieldBase does not collect, hold or move donations, and it is not a bank or a payment service.

Accounts and acceptable use

Sign in with a real email address you control, and keep access to it to yourself; invite teammates through FieldBase instead of sharing a sign-in. Don’t abuse the service: no scraping, reselling access, reverse engineering, disrupting the service, or storing information you don’t have the right to store.

Your donors’ information

You decide what information about donors and gifts goes into FieldBase, and you’re responsible for having the right to keep and use it — for example, under the privacy laws that apply to your organization. We process it only to run the service for you, as described in the privacy policy.

Statements, receipts and exchange rates

FieldBase prints the information you enter. Whether your organization — or a fiscal sponsor or sending agency acting for it — may issue tax-deductible receipts, and whether a receipt is correct, is your responsibility. The U.S. receipt wording FieldBase offers follows IRS Publication 1771 as a convenience; it is not tax or legal advice, and it is only produced when you tell FieldBase your organization qualifies.

Automatic exchange rates are the European Central Bank’s published reference rates, retrieved through Frankfurter. They may differ from the rate your bank actually applied; you can enter your own rate for any gift.

Pricing and billing

FieldBase is a subscription — $29 per month or $249 per year — after a 14-day free trial that needs no card. Subscriptions renew automatically at the end of each billing period until you cancel. You can cancel anytime; cancellation takes effect at the end of the period you’ve paid for. If a trial or plan ends, your records stay readable and exportable, but new records can’t be added until a plan is active.

Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders, and its buyer terms apply to your purchase. See our refund policy.

Your data

Your records are yours. We claim no rights to them beyond what’s needed to run the service for you. You can export your gift records to CSV at any time, and you can ask us to delete your organization’s data.

Important limits

The service is provided “as is”. Keep your own copies of anything you can’t afford to lose. To the maximum extent permitted by law, our total liability for any claim is limited to the amount you paid us in the 12 months before the claim. We may change these terms; if a change is material, we’ll note it here and email account holders before it takes effect.
